The challenge

With SAP SuccessFactors, CLdN took an important step in digitizing its HR processes and employee data. However, an additional solution was needed to centrally manage and easily retrieve documents such as CVs, identity documents and other HR files.

CLdN wanted to bring all relevant documents together in a single digital employee file. At the same time, sensitive information needed to be properly protected: HR employees should only have access to data from the countries they are responsible for, while management and payroll information required additional protection. CLdN also wanted to minimize the manual management of employee files and metadata as much as possible.

The solution

Qubix developed a digital HR document platform for CLdN based on SharePoint Online, integrated with SAP SuccessFactors through Microsoft Azure. SAP SuccessFactors remains the central platform for HR processes and employee data, while SharePoint brings all related documents together in a structured digital employee file.

Employee files are created automatically, relevant data and documents are synchronised, and metadata is added automatically. The solution also takes CLdN’s international structure into account: access rights are aligned with country, management level and payroll role, ensuring that sensitive information is only accessible to authorised employees.

A central search environment allows HR employees to quickly find documents across different SharePoint environments, while respecting existing access rights. This gives CLdN one secure, structured and scalable environment for HR documents, with less manual administration and greater visibility for HR.
